What is Omega People?

It’s cloud HR software for small and mid-sized businesses: employee records, leave and absence, time and attendance, rota and shift planning, onboarding, documents with e-signature, expenses, performance reviews, training and health and safety records. It runs in the browser on a computer, tablet or phone, with nothing to install, and it comes with the employment rules of the UK, the US, Canada, Australia, New Zealand and Switzerland already set up.

Does Omega People run payroll?

No. It does not calculate tax, pension or social-security contributions, does not produce payslips and files nothing with the tax authority. It prepares the month — hours, overtime, absences and approved expenses per employee — and exports a file laid out for your payroll software, accountant or bureau. When payroll is done, you can upload the payslip PDFs and each employee finds their own.

Are the employment rules for my country included?

Yes, for six countries: the United Kingdom, the United States, Canada, Australia, New Zealand and Switzerland. You choose the country when you create the company and start with its leave types and statutory minimums, public holidays by nation, state, province, region or canton, working-time limits, sick-leave rules, onboarding and offboarding checklists and a calendar of statutory deadlines. How do employees clock in? Is there a mobile app?

The Omega People app for iPhone and Android is being published on the App Store and Google Play right now; until it is there, everything works in the browser. Employees clock in and out from the browser on their own phone or computer, from a personal link that needs no account, or at a tablet by the entrance set up as a kiosk, using a badge code or the QR code on their badge. Clocking in from the browser records the time, not the location.

Why is it priced per company rather than per employee?

Because a per-employee price makes every new hire a software decision. Here there’s one price for the company, in bands by headcount: up to 25 employees for £35 a month, up to 75 for £69, with every module in every band and no charge for the managers and HR admins who run it. Inside your band, hiring doesn’t change the bill.

Can I import my employees from a spreadsheet?

Yes. Upload a CSV or Excel (.xlsx) file and the column headings are recognised automatically: names, contact details, job title, department, site, manager, contract type, hours, start date, salary and the opening annual-leave balance. You see a dry run with any problems before anything is saved, and an import can be undone. Attendance history, shifts and documents are not imported.

How do leave balances work?

Each leave type has its own entitlement, which accrues monthly or is granted at the start of the year, pro rata for part-timers. You set how much can be carried over and when it expires. When a request is approved the balance updates at once, and employees see what they have left before they ask. Public holidays for the site’s region are never counted as leave.

Where is my data stored?

On servers in Germany, in the European Union, with a backup every day. How employee data is processed is set out in the data processing agreement and the security page in our legal documents.

What happens if I stop paying?

The company becomes read-only: you and your team can still open everything and export your data for 30 days. After that the data is deleted. You can cancel whenever you like, without notice or penalties, and there is a 30-day money-back guarantee from your first payment.

Is the electronic signature legally valid?

The built-in signature is a simple electronic signature: the employee signs in, reads the document and confirms, and a certificate with their name, the date and time, the IP address and a fingerprint of the document is added to the PDF. That is what most internal HR documents need. It is not an advanced or qualified signature; if you need one, you can connect your own Yousign account.

Can I manage more than one company?

Yes. One login can run several companies, each with its own employees, settings and country. Each additional company on the same subscription has its own, lower price, shown in the pricing section.

Who can see what?

You decide, module by module, who can view and who can manage. Managers can be limited to their own team, department, site or projects, employees see only their own records, and an audit log keeps track of changes. Two-factor authentication and single sign-on are not available yet.

Does it work for staff in different states, provinces or cantons?

Yes. Each site has its own region, and its people follow that region’s public holidays. Where a rule differs by state or province — overtime in the US and Canada, paid sick leave in US states — the differences are noted so you can set the right values for each site.

Is Omega People an alternative to BambooHR, Personio, Factorial, Deputy or Employment Hero?

For a company that wants leave, attendance, rota, onboarding and expenses in one place at a fixed price, yes. The main differences are the per-company pricing and the built-in rules for six countries. What it doesn’t have: built-in payroll, single sign-on or a marketplace of integrations. What support do you offer?

Support by email, Monday to Friday during Central European business hours, in English, German and French, with first-response times written into the service level agreement. We can also help you import your employees and set up your leave rules.

How am I billed, and in which currency?

In your local currency — pounds sterling, US, Canadian, Australian or New Zealand dollars, or Swiss francs, depending on your company’s country — by card, monthly or yearly (yearly costs ten months: 2 months free). The prices quoted in the text of this page are in pounds sterling, for UK companies (the pricing section lists every country), and all prices exclude tax: any VAT, GST or sales tax due is added at checkout.

How much does it cost?

Plans start at £35 per month, excluding tax, for up to 25 employees; then £69 for up to 75 employees, £119 for up to 200 employees, £179 for up to 500 employees and a custom quote for over 500 employees. The first month is free and no credit card is required; pay yearly and you get 2 months free. Every band includes every module and every user: no per-person fees, no set-up fees and no minimum term — cancel whenever you like, without notice or penalties. Each additional company on the same subscription costs £22 per month in the first band and half the price of its band from the second band up. It replaces an HR platform sold per employee: for 25 employees that comes to about £110 a month. Here it is £35 a month, all included.
